Wedding booking Terms and conditions

To fully secure a booking with me I require a deposit of £30. This payment is used to reserve a wedding date so no one else can book and to cover all admin fees when processing your booking. Please note this payment is non-refundable under any circumstances and will be deducted from the total amount on your wedding day.

WEDDING PAYMENTS

Once the £30 deposit has been received your wedding date will be booked in the diary and will be unavailable for anyone else to book.
Following the trial if you wish to proceed in further securing your wedding date with me I require a further deposit of £30 payable within one week of the trial date which will be deducted from the total amount due six weeks before your wedding.

TRIALS

I recommend to book your trial appointment approximately three to six months before your wedding and advise to arrange this as soon as possible once you’ve confirmed your booking if you have a specific date in mind.

Trial Timings
Bridal trials take approximately three hours for both hair and make up or two hours separately and any additional time will be charged at a rate of £20 per half hour. If I have another appointment after you and our appointment overuns this time I may suggest to book another trial on a future date. 

Location
As I offer a mobile service I usually travel to you for the trial appointment if you are local. If you live more than a thirty minute drive from my postcode (B76) travel fees may apply.

* Please Note * - Weekend dates are reserved for weddings and therefore trial appointments are only available to book mid-week (Monday to Friday). Please speak to me if you have any concerns regarding your trial appointment and I’ll do my best to accommodate you.

Evening trial appointments (after 5pm) are subject to an additional £15 charge.

COVID-19 WEDDING POSTPONEMENTS

For weddings affected by Covid-19 I will be happy to transfer deposits to an alternative date if the client wishes to postpone their booking providing I have availability on the new date. Please note this only applies to Covid affected weddings where restrictions have prevented the wedding from going ahead as planned. 

In the event that I am unable to accommodate the new wedding date no refunds will be offered and the usual cancellation policy applies.

CANCELLATIONS AND REFUNDS

If you cancel your wedding booking (in writing) more than six weeks before the event/wedding date no further payment will be required from you however your deposit will not be refunded under any circumstances.
If you need to cancel or amend your booking for a wedding/event/hair and/or make up reservation less than 6 weeks before the event date please let me know as soon as possible and in writing. All monies paid by you (including deposit, balance payment and payment for any additional hair or make up services) will be fully retained and no refunds will be made during this period of notice.

MINIMUM BOOKING FEES FOR PEAK SEASON WEDDINGS

All Saturday weddings booked throughout May to September are subject to a £350 minimum booking fee. This amount only applies to the wedding date itself and does not include travel money, parking fees or trial appointment monies. 

Where an additional stylist is required for a Saturday wedding throughout May to September the minimum booking fee may be increased to cover both stylists - this will be confirmed at the time of booking.

On occasion other dates throughout the year may be subject to a minimum booking fee however this will be confirmed at the time of your booking if this applies.

I reserve the right to cancel a booking and retain any monies paid if failure to comply with the minimum amount arises. 

PAYMENT (Trials and non-wedding bookings)

Payment for a trial or hair and make up appointment must clear in my account 48 hours before the appointment if payment is made via bank transfer or will be required to be paid in cash on the day. I do not accept bank transfers after a booking and if the correct amount has not been paid before or during the appointment a £10 admin fee may be added on to compensate for time spent organising payment. I reserve the right to cancel any appointment where funds have not been paid within these requests. All payments for trial appointments are non-refundable.

LIABILITY 

For hair and make up procedures the client is required to inform me, as the hair and make up artist, of any allergies they are aware of before the application of any products. By booking with me you constitute that all of the questions asked of you relating to any medical history prior to an appointment are correctly answered and the statements provided are correct and true to the best of your knowledge. You therefore give your consent and permission for me to perform the procedure discussed using the make up and/or products of my choice and consent to not hold myself, Sarah Jaye, liable for any adverse reaction to the make up or procedure today or any date in the future.

TIMINGS

For wedding days I have a general time frame worked out by myself for hair and make up services and a schedule will be provided for you following your trial to confirm these. If my timings mean we have to start hair and/or make up before a reasonable time I will recommend booking an assistant/additional hair and make up artist although only if I cannot fulfil the booking myself.

Bridal Suites

If you have a bridal suite booked with limited access it may be necessary to start hair and make up at a separate location and then move to the bridal suite. If this is required an additional fee of £25 will be added to your quote to cover extra set up time.

ADDITIONAL STYLISTS

For large bridal parties where it is necessary to book an additional stylist I will inform you of the hair and/or make ups I require assistance with and forward details of all available stylists I know of for your wedding date. The additional stylist must be booked separately directly by the client.

If you have already booked a separate hair or make up artist who you wish for me to work alongside I am always happy to do this and arrange a wedding morning schedule to align with theirs.

Additional stylists arranged by myself will have their own insurance policy and be responsible for services provided independently. If you wish to view any documents or your venue requires them please let me know.

TRAVEL/CALL OUT AND PARKING FEES

Any additional travel/call out fees will be confirmed upon enquiry. If parking fees apply for a trial appointment or wedding day booking these will be added on to your quote.

Upon reading this, if you have not already informed me, please ensure I am made aware if there are parking restrictions/costs to consider at your wedding venue or ‘getting ready’ location.

BOOKING ALTERATIONS

Please note if your quote changes from the initial enquiry at any stage this may impact any travel fees or discounts applied as these are decided upon the size of the booking and by the travel time to and from a location. I reserve the right to amend a travel fee if any changes are made to the booking following the initial quote. 

INSURANCE

I am fully insured for all services provided.

When making a wedding booking with me a copy of my full terms and conditions will be sent to you by email along with a booking form to complete.


PRIVACY POLICY

 

In light of the new General Data Protection Regulation which comes into effect on the 25th May 2018 I have written the following text to outline my data protection policy and terms of service which will apply to anyone booking with me from the 25th May 2018. 

 

COLLECTING INFORMATION FOR HAIR AND MAKE UP SERVICES

I, Sarah Jaye, request the minimum level of personal information from my clientele to run my business effectively. The data and personal information you provide, such as your name and contact details, will not be disclosed with any sources outside of my business or with any third party. I understand the importance of protecting my client’s personal data and take your right to privacy very seriously which therefore means I take the upmost care when carrying out the following procedures to ensure I maintain and exceed my responsibilities in relation to storing your data.

By booking my services for hair and/or make up I consider you to have provided consent for me to collect this data from you and for this information to be used in the following ways outlined below in our fair processing notices.

WHY WE NEED TO COLLECT THIS INFORMATION AND WHAT INFORMATION WE COLLECT

I only collect information which is essential to run my business effectively. The information I require and why I need it is explained below in the following text. All information provided to us about a client is stored safely and securely, on password protected computers that only I have access to.

  • Client’s Address

I will only ask for your address if I require it for our appointment with you. This information will only be used for the purpose of meeting you for your appointment time and will not be shared with anyone else. 

  • Client’s Contact Number

I will only ask for your contact number in relation to an appointment with you made via email or social media so that I can contact you if necessary to update you with any details regarding your appointment or booking. This information will not be used for any marketing purposes. 

  • Email Address

When contacting me via email or contact form on the website your email is only stored on the email provider in which we use. We do not pass any data onto other companies or third parties. I will only use this information to contact you with regards to an appointment with me or with details concerning your appointment or for reviews, feedback and photo permissions detailed below. Your email address along with your contact number and address information may be passed on to an assistant hair or make up artist where necessary for larger bookings requiring their services although only relevant details will be passed on and this is the only case where I will share your information.

  • Medical Data

When carrying out a make up procedure I may ask you to complete a medical consultation card to ensure you have had no previous reactions to any make up, have no known allergies or sensitivities relating to any products and consent to me using my own make up products on your skin and hereby releasing us of any liability to any adverse reactions following your make up application. This information is known as ‘sensitive data’ and requires your name, a signature and six to eight health related questions relating to make up. Examples of medical data which we collect in our consultation cards may be concerning allergies or an injury/current medication that may impact our service.

RETENTION PERIOD

I only keep appropriate medical record cards for as long as necessarily required and these are destroyed respectively after this period. We do not keep medical record cards for longer than 12 months from the date of your booking with us although in some cases may dispose responsibly of them before this period. 

MARKETING    

I do not use any personal information such as your phone number or email address for marketing purposes nor do I carry out email marketing campaigns. I will only use your personal data to contact you in relation to an appointment you have with us.

REVIEWS AND FEEDBACK

After my appointment with you I may contact you via email or messaging service to ask you to leave a review of my services. I consider your agreement and participation in the service as consent to contact you. If you do not wish to hear from me after your appointment you are welcome to opt out of this at anytime and there is no obligation to leave a review or provide any feedback.

PHOTOGRAPHY

After my appointment or booking with you I may contact you via email or messaging to see if you would be happy to share some photos from your wedding day or appointment. I consider any photos you send to me as consented images to use on my website and all social media platforms including Instagram, Facebook and Twitter. Where possible I will always credit the photographer for any images I use so gratefully appreciate when this information is provided alongside any images received. As a client you are not obliged to send any images and are entitled to opt out of this anytime in the future whereby we can remove the images from our website or you may let me know if you do not wish to be contacted following your booking.

During my appointment/booking with you I may take photos which may be used on our website and social media platforms. With verbal permission being granted to take these photos and for you allowing me to do so we take this participation and agreement as consent to use the images on our website and social media. We may use your first name along with any photos on the respectful platforms and by booking with us you acknowledge consent for us to do this. You are fully entitled to deny any images being taken and to opt out of your images being used at any time in which they will be removed and no longer used online. 

While I am happy to participate in staged photos when requested by photographers for your hair and make up on your wedding day I usually ask that these images are sent to me after the wedding so that I can use them on the website to help other bride's see my work.

YOUR RIGHTS 

The GDPR Laws give you the right to access information held about you and I want to make it easy for you to withdraw consent should you want to at any point. To do this or discuss anything with us you may contact me to;
